How bookings count toward your plan, and how cancellations are refunded.

When does a booking count toward my plan usage?

A booking counts the first time it moves to Deposit or Paid — i.e. when your customer has put money down. Each booking counts at most once: the later Deposit → Paid transition does not double-charge you.

Bookings sitting at Pending, Reserved, or Void never count. You can use Reserved freely for verbal holds and tentative phone bookings without incurring a fee.

What happens if a booking is cancelled?

If you mark a booking Cancelled (or Void) before the cancellation deadline, the usage credit is refunded on your next PuffPad invoice. After the deadline, the booking remains counted — the rental window has effectively begun and PuffPad has already done the work of supporting it.

This is independent of any refund you choose to give your customer. Your customer-side refund policy lives in your store front settings and is between you and the renter.

What is the cancellation deadline?

11:59 PM the day before the rental's pickup/dropoff date, in your store front's local time zone.

Example: a rental with a Saturday pickup must be marked Cancelled (or Void) by Friday 11:59 PM local time to qualify for a credit refund. Cancellations made on or after the pickup day do not refund.

Which plans does this apply to?

All three plans — see Pricing. The mechanism differs slightly by plan:

  • Launch ($3 + 3% per rental, no monthly fee): the $3 + 3% fee for the cancelled booking is credited on your next invoice.
  • Pro ($249/mo, 200 rentals included, $3 each beyond): if the cancelled booking was inside your included bucket, the slot is returned to that month's bucket. If it had spilled into overage, the $3 overage fee is credited on your next invoice.
  • Scale ($349/mo, 300 rentals included, $2 each beyond): same as Pro, except the overage refund is $2 per cancelled rental.

Unused bookings from your monthly bucket also roll over — up to 1,000 banked credits — on Pro and Scale.

When does the credit actually show up?

On the next monthly invoice from PuffPad. Cancellation credits are netted against the same period's usage, so you'll see a single reconciled total rather than a separate refund line per booking.

If a Pro/Scale cancellation restores a slot to your included bucket rather than refunding cash, it appears in your usage dashboard the same day — you don't need to wait for the invoice.
